Make an AI email warmer without promising a deadline you cannot meet.
Give the draft a short facts list before asking for a friendlier tone. Check every date, offer and commitment before sending.
Separate what is confirmed from what is undecided before asking AI to rewrite a reply. Our suggested instruction is: improve tone, preserve the facts and add no new promise, price or delivery date.
Start with facts rather than adjectives
This invented example has two facts: Friday delivery is not confirmed, and you can send a progress update on Monday. A suitable reply is: “Thanks for checking in. I cannot confirm Friday delivery yet. I will send a progress update on Monday.” That promises an update, not delivery on Monday.
Where Gmail’s drafting tool fits
Google’s computer guide says Help me write can create a draft or refine its tone and clarity. In an eligible Gmail account, open a draft, enter an instruction in the prompt bar and choose Create. Google lists Formalize, Friendly and Shorten as refinement options.
If the option is missing
Google lists eligible Workspace or Google AI plans for global access in supported languages, and supported-language personal accounts in the U.S. Availability therefore depends on the account and location. Do not assume another person’s screen means the same feature is enabled for you.
Do one factual pass before sending
Read dates, money, attachments, recipients and phrases such as “I will” separately from the tone. For the example above, reject a rewrite that turns Monday’s update into Monday’s delivery. Check any source details the tool used; Google’s guide describes a Sources control for personalized drafts.
